CaribSafe ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our mobile applications, or use our web portal (collectively, the "Services").
CaribSafe Ltd is registered in England and Wales and pays the UK data protection fee. Where UK GDPR applies, we process personal data in line with those principles. For a summary of our security practices, see our Trust & Security page.
Please read this Privacy Policy carefully. By using the Services, you agree to the collection and use of information in accordance with this policy.
This policy applies to everyone who interacts with CaribSafe, in three groups:
What "controller" and "processor" mean: A data controller decides why and how personal data is processed. A data processor handles data on someone else's instructions. If you're a staff member and want to correct or delete your employment records, contact your employer's Account Owner or HR administrator directly — not CaribSafe. We process that data on your employer's behalf and instructions, in line with our commercial agreement with them.

When you use CaribSafe People as staff of a property, we process the following on behalf of your employer:
Location in People: precise location is collected only when you sign on for duty, while the app is in use, to confirm you are on property. SOS, journey tracking, check-in timers, and background location described elsewhere in this policy apply to other CaribSafe apps, not to People.
Face ID / device biometrics (People, Ops, and Kiosk): used only to unlock the app on your device. Biometric data is not collected, stored, or sent to CaribSafe.
Photos in People: the photo library is used for profile photos and document uploads. People does not use the camera or your device Contacts list.
When you use emergency features (SOS, shake-to-alert, check-in expiration), we share your location with emergency services (police, medical, fire) and your designated emergency contacts.
When you report an incident, we may share anonymised incident information (location, type, time) with other users in your area or property. Your personal identity is not shared in these reports.
If you use CaribSafe as a staff member of a property on CaribSafe Portal, People, or Ops, your employer can see your duty status, roster, and employment/compliance records. Personal safety features (SOS, journey tracking, check-in timers) remain private and are never shared with your employer, regardless of which CaribSafe products your employer subscribes to.
If you were referred to CaribSafe by a partner or introduced through a business relationship, we may share limited contact details (name, email, company) with that partner solely to coordinate the introduction, where you've consented to this or it's necessary to respond to your enquiry.
We may disclose information if required by law or to protect the rights, property, and safety of our users or the public.
When you visit caribsafe.com, we use cookies and similar technologies to operate the site and, where you consent, to understand how visitors use it.
You can change your cookie preference at any time by clearing site data for caribsafe.com in your browser (this resets the cookie banner) or by contacting us. We do not use cookies for advertising and do not sell any data collected through website cookies.
Your information is stored securely using Firebase (Google Cloud). All sensitive data is encrypted both in transit and at rest, using HTTPS/TLS, secure authentication and authorization, and regular security audits.
While we strive for absolute security, no method of electronic storage is 100% secure.
CaribSafe People (and other employer-provisioned staff apps): CaribSafe is the data processor; your employer is the controller of employment records. To close People access, use Settings → Delete my account in the app, or email support@caribsafe.com. We forward the request to your employer's HR / Account Owner, who revokes app access in the CaribSafe Portal. Your employer may retain duty, leave, payroll, and compliance records as required by employment law. This does not change deletion for other CaribSafe apps where you can delete your own data in the app.
Our Services are not intended for children under 13. We do not knowingly collect information from children under 13.
Your information may be transferred to and stored on servers located outside your country of residence, including Google Cloud / Firebase infrastructure used to run the Services. Where required, we take appropriate steps to protect personal data in line with UK GDPR.
We retain your information for as long as necessary to provide services or comply with legal obligations. Upon account deletion, personal information is removed or anonymised within 30 days. Website enquiry data (demo requests, Compliance Checker submissions) is retained for as long as reasonably needed to respond to your enquiry and for a limited period afterward for record-keeping, unless you ask us to delete it sooner.
California residents have the Right to Know what is collected, the Right to Delete, and the Right to Opt-Out of the sale of information (though we do not sell your data).
EEA and UK users have the Right of Access, Rectification, Erasure, Restriction, Data Portability, and the Right to Object. If you have concerns about how we handle your data, you also have the right to lodge a complaint with your local data protection authority (in the UK, the Information Commissioner's Office).
